The short answer
Postal mail delivery is a multi-stage process that moves a letter from your mailbox through local collection, regional sorting, long-distance transport, and finally to a carrier who walks or drives it to the recipient’s door. Every piece of mail gets a barcode scan at each handoff, creating a digital trail that postal services use to track delivery and resolve disputes. The system relies on standardized addresses, automated sorting machines, and a combination of planes, trucks, and foot carriers working on tightly coordinated schedules.

The address is a coordinate system
Before a letter can move anywhere, it has to be readable. Postal systems around the world have spent decades building address databases that map every delivery point to a standardized format. In the United States, the United States Postal Service (USPS) maintains the Address Management System, which contains over 160 million addresses, according to the USPS Office of Inspector General. Every address is assigned a barcode that encodes the ZIP code, street number, and apartment unit number as a series of vertical bars.
When you drop a letter into a blue collection box, it begins a journey that most people never see. The box is emptied by a carrier who drives a set route, bringing collected mail back to the originating Post Office. From there, it travels to a Processing and Distribution Center (P&DC), where the sorting begins.
Reading addresses at machine speed
Modern postal facilities are dominated by sound: the hum of conveyor belts and the clatter of sorting machines processing tens of thousands of pieces per hour. The centerpiece of most large facilities is the Optical Character Recognition (OCR) sorter, a machine that photographs the front of every envelope and runs the image through pattern-recognition software that extracts the city, state, and ZIP code.
From that data, the machine prints a POSTNET or Intelligent Mail barcode on the bottom of the envelope. That barcode is what allows subsequent sorters to route the piece without reading the address again. The barcode encodes enough information to direct a letter to a specific delivery route in the destination city, long before a human being has touched it.
Smaller facilities use manual sortation for first-pass processing and rely on OCR as a backup. But even in facilities with full automation, addresses that are handwritten, damaged, or unusually formatted still require human intervention. The USPS estimates that about 3 percent of mail carries addresses that machines cannot read, routing those pieces to a Remote Encoding Center where image reviewers type the address from a computer screen, according to USPS technology reports.
The transport network
Once sorted, mail leaves the processing center in large containers loaded onto trucks or onto cargo aircraft. For domestic mail, the backbone of the transport network is trucking: the USPS operates its own fleet of long-haul trucks and also contracts with UPS and FedEx for air transport of time-sensitive pieces like Priority Mail.
For international mail, letters travel in dedicated mail bags loaded onto scheduled commercial flights. The Universal Postal Union (UPU), a United Nations agency based in Bern, Switzerland, sets the rules that allow national postal services to exchange mail with each other, as documented by the Universal Postal Union. When a bag of letters bound for Spain arrives at JFK Airport in New York, it is handed off to a carrier airline, flown to Madrid, and then transferred to Correos, Spain’s national postal operator, under a set of bilateral agreements that govern how costs are shared.
This arrangement is why a letter to a remote village in Patagonia costs the same as a letter to a Buenos Aires suburb: the universal service obligation requires national postal operators to deliver to every address at uniform domestic rates, with international settlements negotiated through the UPU covering the cross-border portion.
The last mile
The most labor-intensive and least automatable part of the system is the final delivery. In the United States, rural carriers may drive hundreds of miles per day on routes that serve dozens of addresses spread across farmland and small towns. Urban carriers on foot can deliver to 300 or more addresses per hour in dense neighborhoods with apartment buildings on every block.
Carriers follow a daily sequence: they load their vehicle or satchel at the Post Office, drive to their route’s start point, and then work through the addresses in order. Forward-thinking postal operators have invested heavily in Dynamic Routing software that adjusts carrier sequences daily based on package volume and traffic conditions, squeezing efficiency out of the last mile.
Packages present a different challenge from letters. They require signature confirmation for high-value items, special handling for hazardous materials, and in many countries, real-time GPS tracking that sends automated notifications to recipients. The growth of e-commerce has driven a surge in parcel volume that has pushed postal operators worldwide to build out dedicated parcel processing capacity, competing directly with UPS and FedEx for residential delivery business.
Why it matters
The postal system is invisible until it fails. For most of history, the ability to send a letter across a country for a fixed price was a radical democratic achievement. Today, postal services remain the backbone of e-commerce in many markets, delivering the majority of online purchases in countries like Germany, the Netherlands, and Japan. The USPS alone delivers over 129 billion pieces of mail per year, including billions of prescription drug shipments, election ballots, and government benefits correspondence that reach people who have no internet access, according to the USPS Office of Inspector General. Court summons, tax refunds, birth certificates, and jury duty notices arrive by mail because the postal system is the only delivery method that is required to reach every address at a uniform price. If you have moved and filed a change-of-address form, the USPS will forward your mail automatically for 12 months, holding a record of your new address that you can update online.
Common misconceptions
“The postal service loses a lot of mail.”
The USPS reports an on-time delivery rate of over 90 percent for first-class mail, according to USPS service performance reports. The national change-of-address system handles over 40 million moves per year, and mail forwarding works reliably because the postal system maintains a continuously updated national address database.
“Email killed the postal service.”
First-class letter volume has declined since the 1990s, but total postal volume has been sustained by parcels driven by e-commerce growth. The USPS reported record package volume in 2023 and 2024, driven by residential deliveries from Amazon, online retailers, and pharmaceutical suppliers. Letters are declining, but packages are booming, and postal operators that have adapted to parcel delivery have stabilized their revenue.

Every international piece of mail passes through at least two national postal operators and often several intermediary carriers. A letter from New York to Sydney goes from USPS to a commercial airline, to Australia Post, and may pass through a third country’s postal system if the routing calls for it. The UPU’s accounting system divides international postage fees among all participating operators based on a complicated formula that has been a source of diplomatic tension, particularly after the United States withdrew from the terminal dues system in 2025.
